We are seeking a highly organized and detail-oriented Administrative and Finance Assistant to join our team in Johannesburg. The successful candidate will be responsible for providing comprehensive administrative support and assisting with various financial tasks to ensure the smooth and efficient operation of our office. This role requires a proactive individual with strong communication skills, a high degree of accuracy, and a solid understanding of basic accounting principles.
Key Responsibilities:
Administrative Support:
- Manage and organize office administration, including filing, record-keeping, and document management.
- Answer and direct phone calls, emails, and other correspondence in a professional and timely manner.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Assist with the preparation of reports, presentations, and other documents.
- Maintain office supplies inventory and place orders as needed.
- Act as the first point of contact for visitors and clients.
- Assist with general HR-related administrative tasks, such as maintaining employee records and coordinating new hire onboarding.
- Provide general administrative support to senior management as required.
Finance and Accounting Support:
- Assist with daily bookkeeping, including data entry and reconciliation of financial records.
- Process invoices, expense reports, and payments in a timely and accurate manner.
- Assist in preparing financial reports, budgets, and forecasts.
- Maintain accurate and up-to-date financial records and files.
- Liaise with suppliers and clients regarding payment queries and follow-ups.
- Support the finance team with month-end and year-end closing procedures.
- Assist with payroll administration and ensure compliance with relevant regulations.
- Handle petty cash management and reconciliation.
Qualifications and Requirements:
- A diploma or degree in Business Administration, Finance, Accounting, or a related field.
- 2 years of proven experience in a similar administrative and finance role.
- Proficiency in accounting software (e.g., Pastel, QuickBooks, Xero).
- Strong knowledge of Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Strong problem-solving and multitasking abilities.
- Ability to work independently and as part of a team.
- Knowledge of basic South African financial regulations and compliance is a plus.
