We’re looking for an Administrative and Finance Assistant to join our team in Johannesburg. This role is all about keeping our office running smoothly—providing day-to-day administrative support and helping with a range of finance tasks.
We need someone who’s organized, accurate, and proactive, with good communication skills and a solid grasp of basic accounting principles. If you enjoy keeping things in order and making sure the details add up, this could be a great fit.
Key Responsibilities:
Administrative Support:
- Manage and organize office administration, including filing, record-keeping, and document management.
- Answer and direct phone calls, emails, and other correspondence in a professional and timely manner.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Assist with the preparation of reports, presentations, and other documents.
- Maintain office supplies inventory and place orders as needed.
- Act as the first point of contact for visitors and clients.
- Assist with general HR-related administrative tasks, such as maintaining employee records and coordinating new hire onboarding.
- Provide general administrative support to senior management as required.
Finance and Accounting Support:
- Assist with daily bookkeeping, including data entry and reconciliation of financial records.
- Process invoices, expense reports, and payments in a timely and accurate manner.
- Assist in preparing financial reports, budgets, and forecasts.
- Maintain accurate and up-to-date financial records and files.
- Liaise with suppliers and clients regarding payment queries and follow-ups.
- Support the finance team with month-end and year-end closing procedures.
Qualifications and Requirements:
- A diploma or degree in Business Administration, Finance, Accounting, or a related field.
- 4 years of proven experience in a similar administrative and finance role.
- Proficiency in accounting software (e.g., Pastel, QuickBooks, Xero).
- Strong knowledge of Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Strong problem-solving and multitasking abilities.
- Ability to work independently and as part of a team.
- Knowledge of basic South African financial regulations and compliance is a plus.
